Continuing Students from Fall into Spring

  • Advisement is an ongoing process for both graduate and undergraduate students at NGCSU. All students who are enrolled in fall semester should make an appointment with their advisors to prepare for the upcoming spring semester prior to pre-registering for the term.
  • Undergraduate students should make an appointment with your advisor in advance and then report to the advisor's office as scheduled. You must obtain a "Proposed Course Schedule/Permit to Register" from your advisor. If your academic advisor is not available, please report to your advisor's academic department head.
  • Undergraduate students with less than 45 earned hours will be required to meet with his/her advisor prior to pre-registration, not only to plan for the upcoming semester(s), but to obtain an alternate PIN for Spring. If you have less than 45 earned hourse, you will be required to enter this second, alternate PIN number in order to access the pre-registration area in Banner.
  • Advisement for students in the Academic Advisement Center will begin Monday, October 1 through noon, Friday, October 12 for all Open Option/Undeclared majors and all Pre-Education majors with less than 40 hours. If you have any questions, please contact the Advisement Center.

Pre-Registration

Students who are taking classes during Fall semester 2007 are eligible to pre-register online for Spring using the Banner system. Access to the system is available from the NGCSU home page. If you encounter problems or have questions about the system, please contact the Office of the Registrar. Instructions to access the system are available.

If you have unmet obligations to the university or outstanding holds on your record, you will not be allowed to register. This includes, but is not limited to holds placed by the NGCSU Business Office, Financial Aid Office, Library or Public Safety Office. If you have such "holds," you are required to clear the holds at the office that placed the hold on your registration (Business Office, Public Safety, etc.). That office will remove the hold, not the Registrar's Office.

Students who took classes at NGCSU during Fall 2007 (August-December 2007) are eligible to pre-register for Spring classes. Students who do not pre-register must register with new students as listed here.

Drop/Add Information

Students may drop classes without receiving a grade and/or add new classes January 7-11, 2008.

Class Withdrawal
If a student wishes to drop a course after 5:00 pm on January 11, he or she must withdraw from the class. The following table is a guide to identify the grade that may be given in the course when the student withdraws.

The Associate Vice-President for Academic Affairs may approve a grade of a W if appropriate extenuating circumstances exist related to a withdrawal after March 4.

Institution Withdrawal
Students who wish to withdraw from the institution must process an institution withdrawal to clear accounts and sign out from the institution. Students must also process a class withdrawal for each course in which they are registered. Refunds are issued ONLY for complete withdrawal from the University. Additional information regarding withdrawals is available on the Registrar's site.

Fees, Payments & Refunds

Bills
The Business Office does not mail bills to students. Students must print their Student Invoice from Banner at the time of registration or after ANY registration change using the link Student Invoice on the Registration menu. Related links at the bottom of the Student Invoice page display all necessary information. Please refer to all that apply.

The Fee Payment Deadline for Spring 2008 for students who pre-register is 4:30 pm on December 7, 2007.

Payment not received by this deadline will result in the dropping of all courses from the student's schedule. Students who lose their schedule must re-register for new classes on January 4, 2008. Please read all instructions printed on the Student Invoice and Announcements section of the login screen of Banner for deadlines for the term.

Students who register for classes after December 8 must pay all fees no later than January 11, 2008. Bills unpaid after 5 pm on this date will incur late fees of $6 per credit hour. Students are stronly encouraged to check their online Invoice to see the status of their bill.


Refund of Fees
Students who withdraw from a class after the drop/add period are not eligible for a refund of any fees. Students who withdraw from NGCSU may be eligible for a refund of fees as determined by the Business Office.

Effective December 2006, student refunds will be processed through a direct deposit process through Higher One. Students will be able to select a direct deposit into their personal checking account or open a Higher One checking/debit accout. All students must select a payment for the refunds for which they are eligible. Additional information will be distributed in October and November. Please contact the Business Office if you have questions.


Changes to Meal Plans for Continuing Students
For students enrolled in Spring semester, the Spring 2008 meal plan charge will be the same as your current meal plan election. Students may change the selected meal plan through the end of drop/add on January 11, 2008.

In order to change a meal plan, login to Banner and select Change Meal Plan from the Student & Financial Aid menu.

Financial Aid Information

Approved financial aid will be listed on the Student Invoice. Please note that class schedules will be retained for all pre-registered students with Financial Aid appearing as "approved" on their Student Invoice. However, if you pre-register and decide not to attend Spring Semester 2008, you must officially withdraw from school or risk the assignment of a WF letter grade and losing a semester's Financial Aid eligibility. Any remaining charges in excess of the Financial Aid amounts must be paid in full by the Spring Semester 2008 payment deadline.

All cadets will have a mandatory formation for accountability on January 6, 2008 at 6:45 pm.
Students who fail to claim their rooms by January 8, 2008 at 12 pm lose their entitlement to a room unless prior arrangements are made through the Assistant Commandant's Office at 706-864-1793.

Female (nonmilitary) students who fail to claim their rooms by January 8, 2008 at 12 pm lose their entitlement to a room unless prior arrangements are made through the Residence Life Office at 706-864-1902.

Graduation

Students who plan to graduate at the end of Spring Semester (May 2008) must notify the Registrar's office of your intent. The following deadlines are firm and must be followed in order to assure a smooth graduation process without financial penalty.

The VP for Academic Affairs will post more specific information regarding the graduation ceremonies. Students are strongly urged to check their NGCSU email accounts for individual graduation information. If you have further questions, please contact the Registrar's Office .

Policies & Procedures

Auditing a Course
If a student wishes to audit a course, he or she must report to the Registrar's Office and advise registrar personnel at the time of registration that you wish to audit the course.

Schedule & Roll Verification
Students
Students must verify their course schedule in Banner. The schedule that the student has at the close of drop/add in January, will be the course schedule for the term. No courses may be added later in the semester.

Faculty and Instructors
A faculty member must ensure that the rosters for his or her courses are correct. Extra or missing students must be reported to the Registrar's Office no later than the roll verification deadline as published by Academic Affairs. Students who fail to attend class (according to the NGCSU Attendance policy) may be withdrawn from the course at the instructor's request by completing the bottom portion of the class withdrawal form.

Services

Enrollment Verification
Enrollment cannot be verified until the close of drop/add for the semester. Students who need an enrollment certificate or enrollment verification should login to Banner and follow these links: Student & Financial Aid; Clearinghouse Student Self Service; Link to NSC. Students can print a certificate for one or all terms of enrollment.

ID Cards
Student I.D. cards are available in the Student Center, room 312. Please have your card made during the first two weeks of the semester. There is no fee for the first I.D. card. Replacement cards are $10.00.

Vehicle Registration Fees
A vehicle registration/parking decal fee is charged to students registered for courses on the NGCSU campus and is reflected on the Student Invoice. Students may apply for a parking permit online in Banner via the Parking Permits & Citations link on the Student & Financial Aid menu. Once you apply for your permit online, print your confirmation and present it at the Public Safety office. Permits may be picked up Monday through Friday from 8 am until 4 pm.

Parking tickets will be issued to cars not displaying a valid NGCSU parking permit.
