How to Archive items

Archiving items from your mailbox provides a way to save messages, appointments, tasks and reminder notes to your hard drive without cluttering up your mailbox. This is especially helpful for messages that are not currently relevant, but could be of use in the future. Archived items are always accessible and can easily be returned (un-archived) to your mailbox. (Note: The status of sent items that have been archived cannot be tracked. Also, the archiving feature and previously archived messages are not available with WebAccess.)

If the security of an item is important, archiving will help. For example, proxy users cannot access items that have been archived on your hard drive.

Important Note: When you create a folder within your cabinet or outside your cabinet and move a message to this folder, you are not archiving.

Verifying the archive location:
1. Click on Tools, Options.
2. Double click on Environment, then click the File Location tab.
3. Verify the location of your archive directory in the Archive Directory text box. The path should read as: C:\gwarchive\
4. If the specified path is correct, then click OK. Click Close.
5. If the specified path is different or blank, contact the helpdesk.
Archiving an item:
1. Select an item from either the Mailbox, Sent Items folder, Cabinet folders or Calendar.
2. From the Actions file menu, click Move to Archive.
Note: If messages within folders are archived, GroupWise will automatically create folder.
Reading an archived item:
1. In the main window, click File.
2. Select Open Archive. The GroupWise title bar indicates the Archive is open.
3. Double click the item you want to read.
4. When you are finished reading the item, click Close.
5. To return to your Master Mailbox, click File and then click Open Archive to deselect the archive directory.
Note: You must close the archive directory in order to re-enter your Master Mailbox. Also, you cannot create or send mail from the archive.
Unarchiving an item:
1. In the main window, click File.
2. Select Open Archive. The GroupWise title bar indicates the Archive is open.
3. Click the item you want to unarchive and choose Actions, then Click Move to Archive.to deselect it.
4. Click File, Open Archive to return to the Main Window.
Note: Unarchived messages are returned to the folder from which they were archived. If the folder has been deleted, GroupWise creates a new folder.
